Privacy Policy
Last updated: September 21, 2026
Your privacy is important to us. This Privacy Policy explains what information Lumina ("Lumina," "we," "us," or "our") collects when you use our website, dashboard, Discord bot, and related services (the "Service"), how we use it, who we share it with, and the choices you have. By using the Service, you agree to the practices described here. Our Terms of Service also apply.
1. Information We Collect
Information from your Discord account. When you sign in with Discord or interact with our bot, we receive your Discord user ID, username, avatar, and any other information made available through the permissions you approve during sign-in.
Application content. If you submit a staff application, we collect your responses. If you are a Server Manager, we collect the application forms you create, your review notes, and your decisions.
Server information. When our bot is added to a Discord server, we process the information needed to operate it, such as the server's ID and name, and the roles, channels, and settings you configure for Lumina.
Billing information. If you buy Paid Features, payment is handled by a third-party payment processor. We do not store your full payment card number. We receive limited information such as your plan, purchase status, and order identifiers.
Usage and technical data. We collect information about how you use the Service, such as pages viewed, features used, IP address, browser type, device information, and log data, including through analytics tools.
Cookies. We use cookies as described in our Cookie Policy.
Support communications. If you contact us through a Discord ticket or by email, we keep the messages and any details you provide so we can help you.
AI support assistant. See Section 10.
2. How We Use Your Information
- To provide, operate, secure, and improve the Service.
- To process applications and help Server Managers manage their communities.
- To authenticate you and keep your account secure.
- To process purchases and manage subscriptions.
- To communicate with you about your account, updates, and support requests.
- To detect and prevent abuse, fraud, and violations of our Terms.
- To comply with legal obligations.
3. How We Share Information
We do not sell your personal information. We share information only as needed to provide the Service:
- Server Managers. If you submit an application, your responses and Discord profile details are shared with the managers of the server you applied to. Those Server Managers decide how to use and store that information, and their practices are governed by their own policies, not ours.
- Service providers. We use trusted providers for hosting, payment processing, analytics, and AI support, who may process information on our behalf and only as needed to provide their services.
- Discord. The Service works through Discord, and information exchanged with Discord is subject to Discord's Privacy Policy.
- Legal and safety. We may disclose information if required by law or legal process, or to protect the rights, safety, and security of our users, the public, or Lumina.
- Business changes. If Lumina is involved in a merger, acquisition, or sale of assets, information may be transferred as part of that transaction.
4. Data Retention
We keep your information for as long as your account is active or as needed to provide the Service. When you ask us to delete your data, we will delete or anonymize it within [30] days, except where we must keep it for legal, tax, security, or fraud-prevention reasons. Server Managers may keep copies of application responses they have received. AI support conversations are deleted automatically as described in Section 10.
5. Data Security
We use reasonable technical and organizational measures to protect your information. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
6. Children's Privacy
The Service is not intended for children under 13, or under the minimum age required to use Discord in their country. We do not knowingly collect personal information from children below that age. If you believe a child has provided us information, contact us and we will delete it.
7. Your Rights and Choices
You may ask us to:
- Access the personal information we hold about you.
- Correct inaccurate information.
- Delete your personal information.
To make a request, contact us using the details in Section 12. We may need to verify your identity first. If your information was submitted as part of an application to a server, you may also need to contact that server's managers, since they control their own copies.
Depending on where you live (for example, California or the European Economic Area/United Kingdom), you may have additional rights under local law, such as the right to object to or restrict certain processing. We will honor valid requests as required by applicable law.
8. International Users
Lumina is based in the United States, and information is processed and stored in the United States. If you use the Service from another country, you understand your information will be transferred to and processed in the United States.
9. Third-Party Links and Services
The Service may link to third-party sites and services, including Discord. We are not responsible for their privacy practices.
10. AI Support Assistant
Questions submitted to Lumina Guide are sent through OpenRouter to an available third-party AI model provider to generate an answer. Do not submit passwords, API keys, payment information, private application answers, direct messages, or other sensitive information.
Lumina stores the submitted questions, generated answers, source references, technical usage metadata, and optional feedback as a conversation for up to 30 days to operate, secure, and improve the support experience. If you are signed in, the conversation may be linked to your Lumina account. Discord requests may include your Discord user ID and public profile details. For anonymous website visitors, Lumina stores the request IP address and browser user agent instead. The IP address is not stored for signed-in website conversations.
Expired AI support conversations are automatically deleted. OpenRouter and the selected model provider process requests according to their own data-handling policies. Lumina Guide cannot access private account, server, application, or billing data.
11. Changes to This Policy
We may update this Privacy Policy from time to time. When we make material changes, we will update the "Last updated" date above and may notify you through the Service or our Discord server. Continued use of the Service after changes take effect means you accept the updated policy.
12. Contact
For privacy questions or requests:
- Join our Discord server at https://appslumina.com/go/discord and open a ticket to contact us privately and directly.
- Email us at [email protected].
